The Tobacconomics team is seekinganAdministrative & Project Specialistto supportthe team in day-to-day operations. This position will monitor andcomplete purchases, process routine financial transactions, processtravel reimbursem*nts, and enter basic financial data intouniversity systems. The specialist must be organized, professional,and comfortable working independently.

Specific Duties & Responsibilities

  • Support Project Administrator andTobacconomics team in day-to-day operations of large-scale researchproject with international focus. Work closely with ProjectAdministrator to assess project needs, create workplan, and executein a timely fashion.
  • Facilitate subaward logistics in SWiFT asassigned by Project Administrator; may also include the creation ofpurchase order, payment of invoices, and correspondence withsubaward contacts needed.
  • Facilitate complex agreements as assigned byProject Administrator, including master consulting agreements,independent contractor agreements, and other arrangements of asimilar complexity.
  • Responsible for processing independentcontractors for the team based on project needs.
  • Process PO and non-PO invoices in a timelyand accurate manner.
  • Track documents from creation to payment andtrouble shoot any problems that may occur.
  • Manage all domestic and international travelarrangements and itineraries. Process Concur reimbursem*nts priorto and after travel, and local travel reimbursem*nts in accordancewith JHU and Federal Guidelines.
  • Process shopping carts in SAP, trackpurchasing orders, create good receipts and ensure that staff andfaculty receive goods that they have ordered.
  • Create new vendors in SAP.
  • Serve as liaison between the Tobacconomicsteam and University departments such as Procurement, AccountsPayable, and other areas.
  • Additional duties as assigned.
Additional Knowledge, Skills &Abilities
  • General knowledge of accounting andbudgeting theory and practices preferred. General knowledge andunderstanding of The Johns Hopkins University accounting system andrelated fiscal offices required.
  • Ability to manage competing priorities andwork in a complex, fast-paced, demanding environment.
  • Experience with SAP, Concur, SWiFT, Zoom,and Microsoft teams preferred.
  • Very strong organizational skills,analytical and problem-solving abilities, and attention todetail.
  • Ability to maintainconfidentiality.
  • Ability to prioritize own work asneeded.
  • Work constructively as part of ateam.

Minimum Qualifications

  • Bachelor's Degree.
  • Five years in providing high levelexpertise.
  • Additional related experience may substitutefor required education, to the extent permitted by the JHUequivalency formula.
